One-Day Workshop: "AN AI POLICY FOR YOUR LIBRARY"

AN AI POLICY FOR YOUR LIBRARY:
From Taking Stock to Policy Draft in One Working Day
An Online Working Session for Library Leaders with Crystal Trice

OVERVIEW:

Many libraries start their AI policy the hard way. Someone finds a policy from another library, adapts the parts that seem to fit, and brings it to a meeting. It may get approved, but then it sits there because it was written for a hypothetical library rather than your own.

In this one-day intensive, you'll do policy work in a better order. The morning focuses on where AI is already operating in your library and who the upcoming decisions will affect. The afternoon turns that picture into a policy draft.

This is a working session, not a day of lectures. You'll move between short teaching segments, structured work time, discussion, and peer sharing, with a print-ahead workbook to capture your thinking as you go. You'll hear how other libraries are approaching the same questions while applying the work to your own.

The goal is not a perfect policy in one day. It's a solid draft that actually belongs to your library, and a clearer understanding of what comes next.

WHAT YOU'LL GAIN:

  • MORNING: SEEING WHERE YOU ACTUALLY ARE
    • A Working Understanding of AI for Decision-Makers: Understand what AI is, what it is not, and the distinctions that matter when you are setting direction rather than using tools. No jargon, no hype.
    • A Draft Stakeholder Map: Identify who is affected by AI-related decisions across departments, administration, governance, IT, and community partners, and who needs to be at the table before a decision rather than after it.
    • A Draft Current-State Map: Capture where AI is already showing up in workflows, decisions, and systems, including what is working and where questions or risks are surfacing. This becomes the evidence base for everything you write in the afternoon.
    • A Short List of What Needs Attention First: Identify the two or three things this work surfaces that cannot wait.
  • AFTERNOON: WRITING YOUR POLICY
    • An Ethical Foundation for AI Decision-Making: Understand why AI policy is both an ethical responsibility and an operational one, and what that means for how your library approaches it.
    • Clarity on Policy Structure: Distinguish between policies, guidelines, and procedures, and understand when each is the right tool. Explore the core components of a clear, values-based AI policy that works in practice, not just on paper.
    • A Map of Where AI Intersects Your Existing Policies: Identify where AI is already touching areas like privacy, staff conduct, and collection development, and where your current policies leave gaps.
    • A Policy Draft You Can Keep Working On: Use the evidence and priorities you documented that morning to work through a policy framework and begin drafting actual language. You leave with something concrete to refine, review, and take through your library's approval process.
    • Shared Language and Next Steps: Build the common framework your team needs to make consistent, confident decisions about AI going forward.

WHO THIS SESSION IS FOR:

This session is designed for library directors, managers, supervisors, department heads, team leads, and staff involved in policy development, training, or organizational planning. It is appropriate for public, school, academic, and special libraries.

It is especially well suited to teams attending together. When more than one person participates, you can compare perspectives, fill gaps in the current-state picture, and begin building the shared understanding needed to carry the policy work forward.

You do not need to have started your AI work to attend. Libraries with policies already in place can use the intensive to surface gaps, revisit assumptions, and bring existing guidance into closer alignment with how AI is actually being used.

This full-day online intensive is part of our "AI for Leaders" Series. The recording and presentation slides will be available to all who register, along with the workbook and frameworks you can adapt to your local context after the session.
